How to setup "Event Replay or Webinar Replay" for your participants post your event?

1. Overview


Showcase your session recordings after the event has ended. Interactive features like chats, polls, Q&A, lounge, etc., will be disabled. 


This feature lets your attendees re-watch completed sessions all in one place. You can also convert your event recordings into lead magnets and turn them into on-demand sessions. 


Plus, if you’ve applied restrictions to specific sessions, only the eligible participants will access the recording of such sessions, maintaining exclusivity.


The event organizers have to end an Airmeet event to enable event replay.






2. Enable event replay for your Airmeet event

Step 1: Go to your Airmeet event's dashboard and click on the "Registrations" tab, go to the “Pre & Post Event Entry” section under the "Event Entry" placed on the left-hand side. 


Step 2: Click on the "Enable Event Replay" button. 





Step 3: From the Right-hand side ", Select who can enter the event after it has ended".

1. Registered participants only can view Event Replay


Only participants who have registered for the event can access Event Replay and view the session recording.

No new registrations will be allowed.



2. Anyone


Anyone with the event link can access the replay after signing in with either Google, LinkedIn, Facebook, Twitter, Apple ID or Airmeet login. This step verifies the participant's email. 


Existing participants who have registered for the event or purchased a ticket can also watch Event Replay. 


New registrations will show up on the event’s participant list (Event dashboard > Attendees tab > Participants list)



Note:

Registration plan limits will dictate the maximum number of participants who can register.
Make sure you have sufficient registrations left as per your plan limit.

Pay-as-you-go option is currently not supported.



Step 4: After selecting the entry type, click on the "Enable Event Replay" button.


Important Note: For Ticketing based event via Airmeet, event replay is accessible for only ticket holders and participants added via CSV.



3. Format-based access

User interface and experience can be different in both formats depending upon where the event was hosted; the following are the details of what participants can access while consuming post-event content.


  • Webinar Format
    • Interactive features like Chat, polls, lounge, and Q&A will be disabled, and participants can only view them.
    • Participants can only send a direct message to other participants with which chat has already been initiated.
  • Virtual Event Format
    • Interactive features like Chat, polls, lounge, and Q&A will be disabled, and participants can only view them.
    • Participants can only send a direct message to other participants with which chat has already been initiated.
    • Virtual Lounge will be disabled by default
    • Booths
      • Only Media information (Hyperlinks, Videos, Descriptions) can be accessed by participants.
      • Networking tables will be disabled by default.
      • Booth exhibitors won't be able to edit the booth, ONLY organizers can edit the booth.
      • The "I'm Interested" button will be enabled for a booth to collect leads.

4. Event Replay Analytics


As an event organizer, you can send and view the analytics report to see who all viewed the session replay and visited booths, both the event is marked ended and event replay is enabled.


To send an event replay report, follow the below steps:

Step 1: Go to the event dashboard and select the "Analytics" tab.


Step 2: Under the "Summary" tab, select "Send Event Replay report".


The report would be sent to the event organizer's email address within a few minutes.

5. Points to keep in mind


  • Event replay can only be enabled after the event is marked as ended.

  • Event replay can't be enabled if the organizer selects the event entry type "Anyone can enter without signing in."

  • The event organizer can NOT choose any other event entry rule once event replay is enabled.

  • Registered participants can come via their unique links. The same will be considered a new registration if they haven't used a unique link during the event.

  • Interactive features like chat, polls, lounge, and Q&A will be disabled.

  • Please check your session’s replay and visibility settings before enabling event replay. For example, if you have controlled who can join a session, those settings will also apply to those same sessions.

  • Event replay is accessible on the Airmeet mobile applications and mobile browsers.

  • For ticket-based events via Airmeet, event replay is accessible for only ticket holders and participants added via CSV.
