Overview


Speaking at an Airmeet event? Awesome, we are happy to have you on board. Now it’s time to prep yourself for your virtual event.


Every speaker gets a unique link to join the event or dry runs. The speaker gets direct access to the event as every detail on the speaker card is pre-filled by the organizer while generating the speaker's unique link. The unique speaker link can be used throughout the event and during dry runs.



Adding a speaker from the event dashboard


As an event organizer, you can add as many speakers you want for an Airmeet event, whereas for a particular session, you can only have up to 10 speakers at a time on stage. Let's understand how can you add speakers and various components that need to be entered.,


Step 1: Go to the event dashboard and choose the event for which you want to add a speaker. (airmeet.com > Sign in > Community dashboard > Events > Choose Event > View Details) 



Step 2: On the left panel, choose the Speakers & Hosts tab and click on the "+Add Speaker" button, add a speaker and fill in the required details. 




Components for speaker card


  • Speaker's Name: Enter the speaker's name, which you want to display on the speaker card.

  • Upload Speaker Image
    Recommended Image Dimension: 400px * 400px (should be in square shape)
    Image Max Size: 5 MB
    Image Format: JPEG, PNG, SVG 


  • Speaker's Email ID:  Enter the speaker's email address to get him to register for Airmeet in advance, and also if the speaker lost his unique link, he could enter the event using the event link which the same email id entered here.,

    Note: You cannot change the speaker's email address once it has been added. The email address can only be added/edited by re-adding the speaker. 

  • Speaker's Organization: Enter the speaker's organization which you want to display on the speaker card.

  • Speaker's Designation: Enter the speaker's designation/job role, which you want to display on the speaker card.

  • City/Country: Enter the speaker's City & Country, displayed on the speaker card.

  • Map to a Session: Select the sessions the speaker would map with and get backstage & stage access. For the rest of the non-mapped session, he will join as an attendee.

    Note: You can also map any speaker you add while creating a session in the next step.

  • Speaker’s Bio: A little introduction sentences about the speaker.




Why is there an option to add and map a speaker for an RTMP session?


For an RTMP-based session, the speaker can't join backstage or on stage while the session is live. In contrast, as an organizer, you can add them as a speaker and map them for an RTMP session to display their information on the event landing page and on session agenda during the event. 


Generating & Copy Speaker link


Speaker’s link is a distinct link that is unique to each speaker. Once the speaker has been mapped to the session, the event organizer can copy the speaker link from the Speakers & Host section and share it with the respective speakers.

You can also send automated event invitation emails by clicking on "Send email invites".




What can I do if the speaker missed his/her speaker link to join the event?


In case the speaker misplaces their unique link, they can still enter the event and access the backstage and stage from the main event link, which the event organizer can send as a backup for any last-moment hustle.,


Event dashboard > Basic Info tab > Copy event link > send it to speaker


Stage/Backstage management


As soon as the speaker enters the Airmeet event, he would see the "Go Backstage" button for the sessions he is mapped for.

Backstage

At backstage, the speaker can test their audio, video, and network metrics to avoid last-minute surprises and also interact with the host and other speakers of the session, getting to know them before you go live. 

Once everything is in order, the host will choose to begin the session. A countdown of 10 seconds will indicate when the session is about to begin.

Stage

Once the session has begun, the speaker can participate and present their content. Remember that a speaker is always visible to all event participants unless they choose to switch off your camera. The buttons to control the Video, Audio and Screen-share appear at the bottom center of the screen.

Put speakers on-focus/limelight during the live event

The session host can PIn a particular speaker to bring in more on-focus or limelight.

Step 1: Hover your cursor over the speaker's screen to who you want to put in focus.

Step 2: Click on the Pin icon to keep him in and out of focus.

Note: The host can only pin up to 4 speakers at a time.
