Overview


Automatically sync participant data between Airmeet and Hubspot to save time and improve your event ROI


Easily sync Hubspot contacts with your Airmeet event. Use the webhook URL provided to create a custom workflow within Hubspot. Contacts enrolled using the webhook will be registered for the Airmeet event.

Any registrations received on Airmeet will be synced with Hubspot. Filter your contacts based on the last airmeet they registered.

What happens when Airmeet is connected with Hubspot

Hubspot integration can be performed in 2 ways

  • Airmeet to Hubspot
    After connecting your Airmeet event with Hubspot via API key, all the registrant’s details (Name & Email id) will be automatically saved and stored under HubSpot contacts.

  • Hubspot to Airmeet
    After connecting your Airmeet event with Hubspot, you can copy the webhook URL from the events dashboard and paste the same on your workflows, eventually auto-registering your contacts to an Airmeet event and sending them a unique entry link via email.

    Important Note: To integrate HubSpot with Airmeet via webhooks, one must be on the HubSpot Operations Professional plan.






Airmeet to HubSpot

Connect Airmeet account to HubSpot - Community Level

Connecting the Hubspot account with Airmeet will create a synchronous connection between the platforms in syncing the registrant’s data & HubSpot contacts.

Step 1:  Go to the community dashboard and click on the “Integrations” tab.

Step 2: Go to the “Apps” tab and under the Hubspot, click on the “Add“ button.

Step 3: After clicking on Add button, Enter the Hubspot API key, which technically allows Airmeet to access the HubSpot account with an automatic secure authorization.

Accessing API Key from HubSpot

The Super Admin of your account can access the HubSpot API key in the integrations settings. With the HubSpot API key, the developers can create APIs that interact with information in your HubSpot account.

Let’s see how to access the API key for your HubSpot Account

Step1: In your HubSpot account, click the settings icon settings in the main navigation bar.
Step 2: In the left sidebar menu, navigate to Integrations > API key.
Step 3: If a key has never been generated for your account, click Generate API key.
If you've already generated an API key, click Show to display your key.

Step 4: With the key displayed, click Copy to copy the key. Paste the key on your Airmeet as shown above.

Sync Airmeet event registrants with HubSpot contacts - Event Level

After connecting your Hubspot account with the Airmeet community, Enable the integration/sync for your particular event.

Step 1: Go to your event dashboard and click on the “Integrations” tab placed on the left-hand side.
Step 2: Look for the “Hubspot” tab and toggle the button towards the right.
Step 3: Click on “Save” to complete the process of integration.



After Enabling integration, every participant registering for the Airmeet event will now be added to your HubSpot contacts.

Sync & Register HubSpot contacts with Airmeet event using webhook in workflows

Use webhooks in HubSpot workflows to pull registrant's data into Airmeet events and get themself registered for an event. 

Set up a webhook in your workflow on HubSpot

While setting up the workflow in HubSpot, it will ask for a webhook URL generated in Airmeet after enabling the integration for a particular event, past the webhook URL in workflows that will eventually register the contacts for an Airmeet event.

Important Note : To integrate HubSpot with Airmeet via webhooks, one must be on HubSpot Operations Professional plan.




Generating Event Webhook URL

Step 1: Go to your event dashboard and click on the “Integrations” tab placed on the left-hand side.
Step 2: Look for the “Hubspot” tab and toggle the button towards the right.
Step 3: Copy the Hubspot webhook URL, which will allow Airmeet webhook to pull registrant's data into Airmeet.
Step 4: Click on “Save” to activate the webhook URL.



After successfully connecting Hubspot workflow using webhook with Airmeet event participants, data on HubSpot will be auto-registered for your event. An automated email invite including a unique link for the event will be sent.

Note: If the integration is disabled and re-enabled, a  unique webhook URL will be generated, which will then be replaced on your HubSpot workflow.



Important Note:

Ensure that the Airmeet Entry Rules are set as desired. While all available options can be used, if you want to limit access to participants added from Hubspot, we recommend selecting 'Only invited participants' or 'Anyone with event link after logging in' to caputure the email id.


Points to keep in mind

  • Only the Name and Email of the participant will be added to Airmeet. Custom Fields will not be added.

  • Contacts in HubSpot can be filtered based on the Airmeet Name property. Direct Access Link for the event will be added to the contact properties in HubSpot.

  • Participants registered for the Airmeet Event before enabling this integration for the event will not be added automatically. You have to export from Airmeet and upload a CSV file in HubSpot to add those participants.

    Event Dashboard > Event Entry & Participants Tab > Under Participants > Download List.
