1. Overview


The fluid space allows organizers to host informal meetings sessions that are not bound to tables. They can add it as a part of the agenda and use the multi-purpose space to host different formats of informal sessions. Backgrounds can be initially picked from the default settings available.

Attendees can join the space, move around with the arrow keys, and join any conversation they are interested in. A conversation starts when two attendees come into contact with each other, essentially when they are both inside the same zone(indicated by a circle on-screen). Initially, the details of other attendees appear on the top left corner but can be expanded to a video call window similar to that of the table conversations.

New attendees will be pushed into another room if the particular lounge/room limit is exceeded. Attendees can flit between multiple rooms, provided there is an empty slot to accommodate them.,

  • Multiple clusters can be formed.

  • Proximity-based video call: Go near to other participants and connect with them.

  • Divided into multiple rooms.

  • Total participants can join 300. Each room can have 30 participants.

  • Megaphone: The organizer can make an announcement (audio/video). Everyone who has joined the particular room can hear.

3. How to set up a Fluid space session?

 


Step 1: Go to the events dashboard and click on the 'Schedule tab. Go to "Sessions" on your LHS.

Step 2: Click on the '+Add an Activity' and select 'Fluid Space.' 




Step 3: Fill in the session details as follows:


a. Name: Enter the name of what event participants should see.


b. Session date, start time & Duration: Enter the session's date, time & duration according to the event schedule.

c. Select a background: Apply background to your fluid space by selecting the templates shown.



d. Tags: Add multiple tags for participants to search and find sessions easily. 


e. Session description: Add more details to give better clarity to attendees.
Note: You can edit the default description written by Airmeet and add your details.




3.1. Add Custom Background


As an event organizer, you can add a "Custom Background" per session and make it more engaging. Click on the "+" icon to add a Custom Background and upload the image.


The background image aspect ratio should be 16:9 and 

recommended size is 2560px x 1440px. 

The file size should be under 5MB.


 


Step 4: Click on the 'Save' button.



4. How to start a Fluid space session?


As an event organizer, you can start the 'Fluid Space' session from the schedule tab and allow participants to join the fluid space and interact with each other.


To start the 'Fluid Space' session, kindly follow the below steps:


Step 1: Go to the event and look for the 'Fluid space' session under the View Schedule tab.

Step 2: Click on the 'Start Space.' 

 


Step 3: Attendees can now enter the fluid space and start interacting with each other.



5. Fluid Space session interaction & controls 

 

As an event organizer, you have multiple controls and interaction capabilities to perform; let's see what all activities an event organizer can perform.


a. Connect with other participants: 

Use Keyboard arrow keys or double-click on a particular space to navigate around and start conversations with others in their proximity.

Note: A group of 30 participants can connect in one single proximity/room. 

Another set of participants will be joining virtual rooms by default.


b. Virtual Rooms: 

Whenever a group of 30 attendees is gathered, a Virtual room is created, and hence for each session, different rooms are created. Attendees can choose to go to another room and join another set of groups of participants as soon as a few participants leave the space.


c. Make announcements via 'Megaphone': 

As an event organizer, you can broadcast your message to all the participants by clicking on the Megaphone icon and starting an Audio-Video announcement.

Note: Up to two organizers can start an announcement at a time.

Participants won't hear each other while the announcement is being broadcasted.




d. Reactions with Emojis: 

Participants can also click on the emojis present at the bottom of the screen and can react using the emojis.



e. Zoom in & out:


While interacting with other participants, you can zoom in & out of the fluid space.

Click on the "+" icon to zoom in & "-" icon to zoom out located at the bottom of screen.



You can also reset the zoom proximity by clicking on the "reset" option.


f. End 'Fluid Space': 

The event organizers can end the Fluid space session during the live session by following steps:


Step 1: Go back to the 'View Schedule' tab and hover over the fluid session.

Step 2: Click on the 'End Space' button. 

Participants won't be able to enter the fluid space, and the participant present in the fluid space would be pulled out of the space.




Note: You cannot restart the ended session. You need to create a new one and start again.




6. Things to keep in mind


  • Any Event organizer can start and end the fluid space.
    Note: You cannot restart a marked session end.

  • A maximum of 300 people can join this space per session.

  • A group of 30 Participants can ONLY interact in a single group (Known as a Virtual room)

  • The interaction among participants is not recorded in the fluid space session.

  • Fluid space session is ONLY accessible through Desktop/Laptop and not accessible on Airmeet mobile applications and browsers.
