How to Customize live event experience (Enable/Disable Session & Event settings)?

1. Overview


Customize the event space, modify the event theme, hide or show attendee details, and clear the chat, Q&A, and polls when the event is live.


Choose from a dark or light ambiance for your event. Personalize the event interface with your brand colors. Configure precisely how you want your attendees to engage in the event with our advanced engagement controls.




2. Customizing events & sessions during a live event or in preview mode


As an event organizer, you can customize the event pre-event and during the event.


2.1. Pre-event 


Before the event begins, the organizer can use the "View Event" button to access preview mode, allowing customization of the event theme and settings.


Note: The RHS features such as chats, Q&As, polls, etc. are now available before the Event starts (Start Event) will be available in preview mode for dry runs and rehearsals.

2.3. During the event


The organizer can customize the event theme and change the settings according to your preferences during the event.

3. Customize Event Experience


Hide/show your event's feed, attendee list, or clear feed.


Step 1: Go to the settings tab


Step 2: Click on the “Customize event” button.


Step 3: Scroll down to the “Event Experience” section and perform the following actions:


1. Enable/Disable the Schedule button: Schedule button contains all the session details.


2.  Enable/Disable  the event's feed and & clear the event chats: An event organizer can hide or show the event’s feed & clear the event feed at your convenience.


3.  Enable/Disable Event Polls: The polls that are created for all event participants.


4.  Enable/Disable Gifs in Chat: Gif can be shared in the message/chat section.


5.  Enable/Disable Social Lounge: The virtual lounge contains virtual tables for networking, meeting, connoisseur service and more functionalities.

6.  Hide/Show People tab or People count:
The organizer can choose to enable/disable the people tab from speakers and attendess, which shows all the people in the event and their numbers.


7.  Enable/Disable Advanced People Search and custom search: Search for a desired event participant quickly or use custom filters to search the people same preference, location, or other common  factors.


8. Hide/show Direct messageThis will hide/show the message tab that appears for the attendees on the platform.


9.  Enable/Disable Leaderboard: Leaderboard is the gamification feature, if enabled, tracks the participant's event/session activities and the points related it it.


10. Hide/show Session Replays: Ended Sessions can be replayed and re-watched by the event participants after the session has ended, if they missed it earlier.

 

11. Hide/show Bookmark count: It shows event participants the number of session(s) that they have bookmarked.


12. Hide/show Resources: The added resources such as images, documents, videos, etc. can be hidden or shown to the event participants. 


13. Enable/Disable Closed Caption & Translated Captions: If the closed captions or translated captions are enabled for your event, you can also disable/enable it for your particiapnts


14. Hide/show Platform (Airmeet) exit survey: Attendees are asked to rate the Airmeet platform experience when they exit a session. An event organizer can hide the exit survey for all sessions & while leaving the event.




4. Rename the event navigation labels (Virtual Event Format)


To rename the event navigation label, kindly follow the below steps:


Step 1: Go to the settings tab towards the right-side top corner.


Step 2: Click on the “Customize event” button.

Step 3: Scroll down to the "Rename navigation labels" section.


Step 4:Select the label you want to rename and click on the "Renamebutton.


Step 5:Enter the desired label of your choice and press Enter or click on the rename button again.




5. Customize Session Experience


Hide/show your session’s live chat, Q&A, polls, people in the session, attendee count, session timer, or clear live chat, Q&A, and polls.


Step 1: Go to the settings tab


Step 2: Click on the “Customize event” button.


Step 3: Scroll down to the “Session experience” section and perform the following actions


1.  Hide/show the session's feed & clear the chats: An event organizer can hide or show the session’s feed & clear the session’s feed.

Note: Clearing the session chat will clear the session chat for all the sessions.


2. Hide/show the session's Q&A & clear the asked questions: An event organizer can hide or show the session’s Q&A & clear the asked questions by attendees.

Note: Clearing the Q&A will clarify the questions attendees asked for all the sessions.


3. Hide/show session polls & clear the published polls: An event organizer can hide or show the session polls & clear the published polls for all the sessions.



Disclaimer: Clearing Session feeds, Q&A, and Poll data may impact the post-event analytics reports. Request you to perform the action accordingly.




4. Hide/show People in session: An event organizer can hide or show the participant list (people in session tab) for all the sessions.


5. Hide/show Attendee Count: This will hide the attendee count during a live session on stage.


6. Hide/show Emoji Reactions: Hiding Emoji Reactions will disable Reactions that appear on stage during the live session.
Note: This will not disable emojis on chat until you hide the Live chat.


7. Hide/show "Raise Hand" in session (Webinar & Virtual Events Format): Attendees will not be able to request to join the stage by their will. This will also hide the "Raised Hands" button that they can use to request to join the stage during the Live session.



8. Hide/show Stage Labels: Stage labels are the video tags of the speakers and hosts on the live stage.



6. Things to Keep in Mind

  • Changes at the session level would apply to all the live sessions.

  • All the event managers (Team members) can perform the above changes during the event.

  • Clearing Session feeds, Q&A, and Poll data may impact the post-event analytics reports. Request you act accordingly.
