How to restrict or allow participants access for your event sessions?

1. Overview


Customize the level of attendee access to sessions based on various attendee attributes. Only attendees who are a part of the defined segment can view and access specific sessions as a part of their schedule. It is possible to restrict access to sessions based on the following:

1. Ticket type
2. Custom details collected during the registration

3. Registered attendee list

The list of available sessions can be made discoverable to those who do not have access to them if required.



 


Step 1: Go to the Event dashboard > Session tab > +Add an activity or click on the session you want the restriction to be applied > click on the Edit button.

Step 2: Select “Access.”

Step 3: Select the action you want to perform (Allow or Restrict access).




3. Allow Participants Access


As an organizer, you can allow certain participants based on ticket type criteria & from a list of participants.


Step 4: Select the 'Allow Access' option and choose from the different use cases you want attendees to enter a particular session.


1. Ticket holders: Select the ticket tier from which the attendee can enter the session.


2. Select the people based on criteria: Select people based on values entered during registration while filling in the attendee form.


3. Choose from a list of participants: Select the access from the list of registrants/ list of attendees added by the organizer via CSV file upload.



Note: 'Booth Exhibitor' needs to be explicitly added for the session as they won’t have access to it if not granted permission.


4. Restrict Participant's Access 


As an organizer, you can restrict certain participants based on ticket type criteria & from a list of participants.


Step 5: Select the 'Restrict Access' option and choose from the different use cases you want attendees to enter a particular session.


1. Ticket holders: Select the ticket tier from which the attendee should be restricted from entering the session.


2. Select the people based on criteria: Select people based on values entered during registration while filling in the attendee form that should be restricted.


3. Choose from a list of participants: Select from the list of registrants/ list of attendees added by the organizer via CSV file upload that should be restricted. 



Note: 'Booth Exhibitor' needs to be explicitly added for the session as they won’t have access to it if not granted permission.


5. Things to keep in mind:


  1. All speakers and event organizers (event managers) will have access to all sessions in the event (regardless of whether access is restricted or not).

  2. Since we don't have the email IDs of guest users (Event entry > Anybody can enter without signing in), they would not show up on the guest list.

  3. If access rules are changed during the live event, the attendee will have to refresh the browser tab for changes to take effect.


6. FAQs

  1. Can this be done at a session level and event level?
    This is possible only at the session level for now.


  2. Can the organizer use segments or upload CSV files to define who can access sessions?
    Yes, the organizers can use CSV custom fields to control the session access.


  3. Can organizers use this feature to allow and block access?
    Yes, it is possible to allow access and also blacklist participants.


  4. Can the restricted sessions still be made discoverable for others?
    Yes, there is a toggle option to make this happen. Organizers can choose their preferences.


  5. Will organizers have access to all the sessions regardless of conditions?
    Yes, organizers and speakers will have access to all the sessions. Booth exhibitors, however, need to be added manually.


  6. Will this work for all event entry modes?
    For the event entry where anybody can attend, it will not be possible to restrict/allow access based on the guest list since their guest email ID will not be captured.


  7. Can access rules be changed when the event is live?
    Yes, they can be changed. However, the attendees will have to refresh for effect to reflect on them.
  8. Does the booth exhibitor need to be added to the list, or do they have access to all session by default?
    Booth exhibitors need to be added manually. Event organizers and speakers have access to all the sessions by default.
