How to setup "Resource Hub" for an Airmeet Event?

Resource Hub is only available for Community on Premium Webinars, Virtual Events, and All-in-Suite attendee-based plans.


1. Overview


The all-new document hub is a one-stop solution for all your event resource needs.

Organizers can easily upload, edit, and showcase multiple event resources inside the platform during the event. Additionally, organizers can control which documents attendees can view and download and keep track of document usage. The attendees can discover, view, and download these resources in one place without moving out of the event. 



2. Add resources from your events dashboard.



Step 1: Go to the "Events Dashboard" and the "Event Spaces" Tab.


Step 2: Click on the "Resource tab" and begin by uploading the media file.




Step 3: To upload a resource, click on "Upload Resource."




Step 4: Drag and drop or upload the resources one by one.



Step 5: To enter an external website link, click on "Add resource link" and enter the link name and link URL.




Step 5: Click on the "Upload" button.




2.1. Accepted File formats


Airmeet accepts the following file formats:


  • Images: gif, jpg, jpeg, png, webp, SVG
  • Presentations: ppt, pptx, key, ODP
  • Documents: pdf, doc, Docx, txt, odt
  • Spreadsheets: CSV, Xls, xlsx, xlsm, numbers, ods
  • Audio: mp3, wav
  • Video: avi,OV, mp4
  • External Links

2.2 Resources Controls


Once the resources are uploaded, the organizer has a few controls for each resource, like hiding resources from participants, downloading resources, deleting resources, editing the resource's names, and linking resources to a particular session.


Step 1: Click on the checkbox present at the top of the resources.


Step 2: Following are the controls:


a. Delete Resource: Delete any resources permanently from the event-level library.

b. Download Resource: Any event organizer member can select and download the resource they want on their personal computer.

c. Hide Resources from Participants: Resources can be viewed by all participants by default.

Select the resource and click on the hide icon (eye icon) to hide the resource from participants. You can also hide the resources while uploading them and selecting the checkbox.




d. Edit Resource: To edit the file name, click on the edit icon (pencil) and edit the resource name. Changing the name of the resource will be displayed to all participants.


e. Link resource to session: Map resources to a particular session, click on the edit icon (pencil) and choose the session where the same resource should be mapped.



3. Add resources from your live event (Applicable on Webinar Format)


You can also add resources for your live event from the resources tab. To upload the resource, kindly follow the steps below:


Step 1: Go to the "Resources" section for your event.


Step 2: To upload a resource, click on "Upload Resource."




Step 3: Drag and drop or upload the resources one by one.




Step 4: To enter an external website link, click on "Add resource link" and enter the link name and link URL.



Step 5: Click on the "Upload" button.


Note: Resources controls are the same as shown on the dashboard setup. Kindly refer to the "2.2 Resources Controls" section of the article.



3.1. How do I hide the resources tab from settings?


To hide the "Resource" section from your live event, kindly follow the steps below:


Step 1: Go to your event and click on the "Settings" icon.


 


Step 2: Click the "Customize event" button and scroll down to the "Resources" section.


Step 3: Toggle the button towards the left to hide the resources section from all participants, including event organizers. Click on Save for changes to get enabled.





3.2. How do I rename the resources tab in settings?


To rename the "Resource" section during the live event, kindly follow the steps below:


Step 1: Go to your event and click on the "Settings" icon.




Step 2: Click the "Customize event" button and scroll down to the "Rename navigation labels" section.




Step 3: Click on the Rename icon (pencil) and Enter the name you want to display to participants. Click Enter and Save for changes to be reflected.





4. Map resources to your live session. (Applicable for Webinar Format & Virtual Event Format)


You can map a resource to a particular session or upload a new resource from the session backstage or on stage as well.


4.1. Mapping Resources from Dashboard & Resource Tab


Map a resource to a particular session by doing the following steps:


Step 1: Click on the "edit" button for resources from the dashboard or Resource tab in the live event.




Step 2: Click on the "Linked Sessions" tab.

 


Step 3: "Select the session" to which you want the resource to be mapped. Click Done once you select the session.




4.2. Upload Resource from Session Backstage/Stage


You can either map a resource to a session as shown above or upload the same if required.

To upload a resource to the session, kindly follow the below steps.


Step 1: Go to your live session backstage and click on the "Resources icon" on the right-hand side tab.




Step 2: To upload a Resource, click on the "Add resource" button and start uploading your resource.


Step 3: You can add a resource link by clicking "Add Resource link" and entering the resource name and URL.



Note: Participants can view and download the resources by default.


To hide the resources from participants, click the Edit button (pencil) and then toggle towards the left to disable the view access.




Note: The resource tab is only available backstage and on stage in Webinar format (meetup format).



4.3. Resource personalization 


Showcase a particular resource for a specific segment. While uploading a particular resource, you can set the resource's visibility and select multiple segments accordingly.


Step 1: Go to your events dashboard > Event Spaces tab > Resource section.


Step 2: Click on the "Upload Resource" button and select "Visibility."


Step 3: Select "Everyone" or a "Specific Segment" under Visibility.



5. Things to keep in mind


  • The event organizer can upload multiple resources at once as well.
  • 2GB per file max can be uploaded.
  • A maximum of 500 resources can be uploaded per event.
  • The invited speaker who is converted to co-host during the session doesn't have resource edit privileges.
  • Resources linked to the access-restricted session will be access-restricted even on the event resources tab.
  • Resources are visible to attendees by default.
  • To play a pre-recorded video on Stage, kindly use the Video tab (Stage > Manage > Videos)
  • The Resource Hub is accessible during event replay (post-event), on Airmeet mobile applications, and via mobile browsers.
  • The resource tab is only available backstage and on stage in Webinar format (meetup format).
