1. What is the “Cancel Event” feature?

The Cancel Event feature allows organizers to officially cancel any upcoming event.
When an event is canceled, all registered participants automatically receive a cancellation email, and any previously sent calendar invites are revoked.
This ensures clear communication with attendees and prevents confusion or no-shows.


2. How to cancel an event

Follow these steps to cancel an upcoming event:

Step 1: Go to your Events Dashboard.

Step 2: Click the three-dot (⋮) menu beside the event name.

Step 3: Select Cancel Event. (Optional) Customize your cancellation email before confirming.



Step 4: Confirm the cancellation.




Once canceled, the event status changes to "Cancelled," and email notifications are automatically sent to all participants.


3. Who receives the cancellation notification?

All registered attendees are notified via email once the event is canceled.
If they have already added the event to their calendars, the calendar invites are automatically revoked to prevent confusion.


4. Can I customize the cancellation email?

Yes.
Before canceling the event, you can go to the Email tab in your event dashboard and customize the cancellation email.
You can edit:

  • Subject line

  • Message body (include reasons, alternate dates, or follow-up details)

  • Organizer name or contact details

This helps maintain consistency with your brand voice and tone.



5. Can I cancel past events?

No.
Only upcoming events can be canceled.
Events that are already live or have concluded cannot be canceled.


6. What happens after an event is canceled?

Once an event is canceled:

  • The event dashboard becomes disabled (read-only).

  • You can view event details but can no longer make edits or send emails.

  • The event status will show as "Cancelled" on your Events Dashboard.




7. How are refunds handled for ticketed events?

Refunds are not automatically processed by Airmeet.
If your event was ticketed, you must issue refunds directly through your Stripe account.
We recommend communicating refund timelines or policies in your cancellation email for clarity.


8. Can I reactivate a canceled event?

No.
Once an event is canceled, it cannot be reactivated.
If you wish to host the event again, you can duplicate the event or create a new one with the updated details.


Important things to know before canceling an event

Before proceeding with cancellation:

  • Only upcoming events can be canceled.

  • The cancellation action cannot be undone.

  • Refunds for ticketed events must be handled externally.

  • The event dashboard becomes inactive post-cancellation.

  • All registered attendees receive an automatic notification.

Best Practice Tip

If you are rescheduling instead of permanently canceling:

  • Update the event’s date and time instead of canceling it.

  • Use the Email tab to notify attendees about the schedule change.

  • Keep the same event link to ensure a seamless experience for participants.
